Roofing CRM Setup and Integration

Put the Next Action Beside Every Roofing Opportunity

A shared pipeline gives every opportunity a clear next step and a named owner. Contact data quality, responsibility, reminders, and reporting keep the pipeline accurate. Integration failure handling and reconciliation keep the data trustworthy.

The opportunity that sat in a spreadsheet for two weeks

Your sales lead keeps a spreadsheet of inquiries. The coordinator keeps a separate spreadsheet of inspections. The project manager keeps a third spreadsheet of active jobs. Each spreadsheet is accurate in isolation, but nobody can see the full picture.

An inquiry comes in on a Monday. The sales lead adds it to their spreadsheet. The coordinator does not know about it because they check the sales spreadsheet only when they need to schedule an inspection. By the time the inquiry reaches the coordinator's view, two weeks have passed and the homeowner has moved on.

The opportunity did not stall because the team was disorganized. It stalled because the data lived in separate places with no shared view of the next action. A single CRM pipeline puts every opportunity in one place with a clear stage, a named owner, and a defined next step. The team sees the same record. The next action is visible.

Process diagram

Trigger, action, update, owner

1

Trigger

A new inquiry arrives from any connected source.

Action

The CRM creates an opportunity at New Inquiry with the source and owner logged.

System update

The record enters the pipeline at New Inquiry and the assigned owner is notified.

Responsible person

The coordinator owns the initial assignment and the data quality check.

2

Trigger

The inquiry is qualified by service area and work type.

Action

The record moves to Qualified with the qualification details logged.

System update

The record moves to Qualified and the next step is defined.

Responsible person

The sales lead owns the qualification and the next-step assignment.

3

Trigger

An inspection is scheduled or an estimate is sent.

Action

The record moves to Inspection Scheduled or Estimate Sent with the details logged.

System update

The record advances and the reminder schedule is activated.

Responsible person

The sales lead owns the estimate and the follow-up scheduling.

4

Trigger

A job is won and scheduled or lost and closed.

Action

The record moves to Won or Lost with the outcome and the reason logged.

System update

The record moves to Job Complete or Closed Lost and exits the active pipeline.

Responsible person

The sales lead owns the close and the outcome tracking.

How the CRM workflow behaves

The CRM workflow starts with a shared pipeline. We build a homeowner-job pipeline with stages that match your process: New Inquiry, Qualified, Inspection Scheduled, Estimate Sent, Follow-Up, Won or Lost, and Job Complete. Every opportunity enters the pipeline at New Inquiry and moves through the stages as the work progresses. The pipeline is visible to the team so everyone sees the same record and the same next action.

Contact data quality keeps the pipeline accurate. We configure validation rules so records have the required fields before they can advance. A record missing a phone number stays at New Inquiry until the field is filled. A record with an invalid email is flagged. The team sees which records need attention and can complete the data.

Responsibility is clear at every stage. Each record has a named owner. The owner is the person responsible for the next action. When the record moves from Qualified to Inspection Scheduled, the owner changes from the sales lead to the coordinator. The handoff is visible in the record so the team knows who owns the next step.

Reminders keep the pipeline moving. A record at Estimate Sent for more than a configured period without a response triggers a reminder. A record at Follow-Up for too long triggers a check-in. The reminders are configured with your team so they help, not harass.

Integration failure handling and reconciliation keep the data trustworthy. When an integration fails, the system logs the failure, retries, and notifies the team if the retry fails. The team can reconcile the records and confirm the data is correct. We do not silently drop data or let a failed sync go unnoticed.

Exception handling

When an integration fails and the CRM does not update

A form submission arrives from your website. The form tool is supposed to create a contact in the CRM through the integration. The integration fails because the API key expired. The contact does not appear in the CRM.

The system logs the failure and retries according to the configured retry policy. The retry fails because the key is still expired. The team is notified with the error detail so they can update the key. The form submission is preserved in the form tool's log so the team can create the contact manually. The integration is tested after the key is updated to confirm the sync works. The record is reconciled so the CRM matches the form log. No data is lost.

Measurement

What we measure

Each measure is defined in plain language. Baselines start as "Set your baseline" until your data is connected. The review period is agreed with your team.

—

Pipeline advancement rate

The share of records that advanced from one stage to the next during the review period, by stage.

—

Stalled records

The count of records that remained in a stage beyond the configured window, showing where the pipeline slows.

—

Data quality rate

The share of records with complete required fields, showing the accuracy of the pipeline data.

—

Integration failure rate

The count of failed integration syncs during the review period, with reconciliation completion tracked.

Software and access

Roofing CRM setup connects to your CRM platform, your form tools, your phone system, and your scheduling tools. We assess your current setup during planning. Integration feasibility depends on the platform and the access you can provide. We plan the configuration before promising a specific pipeline.

Illustrated workflows

Approved case studies will appear once a real case is documented. Until then, these illustrated workflows show how the CRM connects to the rest of the system.

Questions

Common questions about this service

  • No. The homeowner-job pipeline is the pipeline we build inside your roofing CRM for your jobs: New Inquiry, Qualified, Inspection Scheduled, Estimate Sent, Follow-Up, Won or Lost, and Job Complete.
