Roofing Lead Capture
Capture Each Roofing Inquiry in One Clear Process
Every inquiry from website forms, chat, phone calls, and other approved sources lands in one place. The system records the source, the inquiry time, the service area, and the request type. The office gets a defined next action instead of a scattered notification.
The inquiry that disappeared between channels
A homeowner finds your company through a web search and fills out a form on your website. The form sends an email to a general inbox that nobody checks until the end of the day. Meanwhile, the same homeowner calls the office. The coordinator is on another call and the inquiry goes to voicemail.
By the time someone checks the inbox and the voicemail, there are two records for the same homeowner, neither one assigned to a person. The coordinator does not know which record is the real one. The homeowner, who reached out twice, assumes nobody is interested and calls the next roofer on the list.
The problem is not effort. The problem is that the channels are not connected. Each source creates its own record in its own place, and nobody owns the handoff. A single capture process brings every source into one record with a clear owner and a defined next action.
Process diagram
Trigger, action, update, owner
Trigger
A homeowner submits a form, starts a chat, or calls the office.
Action
The system creates a lead record with source, time, service area, and request type.
System update
The record enters the pipeline at New Inquiry and is assigned to the defined owner.
Responsible person
The coordinator owns the assignment and the exception when a record is incomplete.
Trigger
A duplicate inquiry arrives from a second channel.
Action
The system matches the record by phone or email and merges the information.
System update
The record is updated with the additional source and the duplicate is flagged.
Responsible person
The coordinator reviews the merge and confirms the assigned owner.
Trigger
A record is missing required fields.
Action
The system flags the incomplete record and marks what is missing.
System update
The record is held for follow-up until the remaining information is collected.
Responsible person
The coordinator owns the follow-up to complete the record.
Trigger
The inquiry is outside your service area.
Action
The system routes the record to the out-of-area path with a helpful response.
System update
The record is marked out-of-area and exits the active pipeline.
Responsible person
The coordinator owns the out-of-area response.
How the capture workflow behaves
The capture process starts with source mapping. We identify every channel that brings inquiries into your business: website forms, chat widgets, phone calls, referral links, and any other approved source. Each source is mapped to the same record format so the office sees a consistent view regardless of where the inquiry came from.
Field design determines what each record captures. A roofing lead record includes the source, the inquiry time, the service area, the request type, and the assigned owner. We design the fields with your team so the record carries enough context for the next action without asking the homeowner to repeat information they already provided.
Routing sends each record to the right person. A residential replacement inquiry goes to the residential coordinator. A storm damage inquiry goes to the storm team. A commercial inquiry goes to the commercial lead. The routing rules are configured during implementation and can be adjusted as your team changes.
Duplicate protection catches the homeowner who fills out a form and then calls. The system matches records by phone number or email and merges the information. The coordinator sees one record with both sources noted, not two competing records.
Exception handling covers incomplete records, out-of-area inquiries, and after-hours arrivals. An incomplete record is flagged for follow-up. An out-of-area inquiry gets a helpful response and exits the active pipeline. An after-hours inquiry is captured and queued for the morning, with an acknowledgment sent to the homeowner.
Exception handling
When a record is incomplete
A homeowner submits a form but leaves out their phone number. The record arrives with a name, an email, and a service request, but no way to call them back. The system flags the record as incomplete and marks the missing field.
The coordinator sees the flag and sends a follow-up message asking for the phone number. The record stays in the follow-up queue until the information is collected. If the homeowner does not respond, the record remains flagged so the team can decide whether to pursue it further. The incomplete record is tracked as a data quality measure, not discarded as a lost lead.

Software and access
Lead capture connects to your website forms, chat widget, phone system, and CRM. We assess your current setup during planning. Connection feasibility depends on the access you can provide and the interface each tool supports. We plan the integration before promising a specific automation.
Illustrated workflows
Approved case studies will appear once a real case is documented. Until then, these illustrated workflows show how lead capture connects to the rest of the system.
