Roofing AI Knowledge Assistant
Give Your Team Answers From Approved Company Information
An assistant answers from the documents you approve, shows its source, explains its confidence, and escalates uncertain questions to a person. Access is controlled by permissions. Content revisions are recorded. Warranty, legal, and insurance decisions stay within human review.
The question that took three phone calls to answer
A new coordinator starts on a Monday. On Wednesday, a homeowner asks whether the warranty covers a specific type of flashing damage. The coordinator does not know. They call the project manager, who is on a roof. They call the owner, who is in a meeting. They tell the homeowner they will call back.
By the time the coordinator reaches the owner and gets the answer, the homeowner has been waiting for two hours. The answer was in the warranty document the whole time. The coordinator just did not know where to find it.
An assistant that answers from the approved warranty document would have surfaced the answer in seconds. The source would be cited so the coordinator could verify it. The confidence would be clear. The homeowner would have their answer without three phone calls and a two-hour wait.

How the assistant workflow behaves
The assistant answers from the documents you approve. You choose which documents it can use: your pricing sheets, your scope-of-work templates, your warranty terms, your crew schedules, and your company policies. The assistant does not learn from the internet or from unapproved sources. It answers from what you supply.
Every answer shows its source. When the assistant answers a question about warranty coverage, it cites the warranty document and the section. The team member can check the source to verify the answer. The source citation builds trust and makes the answer auditable.
Confidence is explained. When the assistant is confident, it says so. When it is not, it says it does not have a reliable answer and routes the question to the assigned person. The system never guesses at an answer it cannot support. Escalation is a feature, not a failure.
Content updates are controlled. When a document changes, the approved source is updated and the assistant picks up the new version. A record of content revisions is kept so the team can see what changed and when. The content owner approves the revision. The assistant does not change its own content.
Access is controlled by permissions. The estimator, the coordinator, and the project manager might have access. A new hire might have restricted access. Permissions are set during implementation and can be adjusted as your team changes. Warranty, legal, and insurance decisions stay within approved human review. The assistant surfaces the information. A qualified person makes the decision.
Exception handling
When the question involves a warranty decision
A homeowner asks whether their warranty covers a specific type of damage. The coordinator asks the assistant. The assistant finds the relevant warranty terms and surfaces them: the coverage period, the exclusions, and the claim process.
The assistant does not decide whether the warranty claim is valid. That decision requires human judgment about the specific damage, the installation date, and the warranty terms. The assistant flags the question as requiring human review and routes it to the qualified person. The coordinator gives the homeowner the warranty terms and tells them a qualified person will review the claim. The decision is made by a person, not by the assistant.
