Roofing Review Automation

Make Review Requests Part of Job Completion

A neutral review request goes out after a verified completed job. Every eligible customer gets the same request. No selective routing, no gating, no bought reviews, no AI-generated reviews. A separate service-recovery route helps any homeowner who needs support.

The completed job that never got a review

Your crew finishes a roof replacement on a Friday. The homeowner is happy. The crew moves to the next project on Monday. The job is done, the invoice is sent, and nobody asks the homeowner for a review.

Two months later, the homeowner's neighbor asks for a roofer recommendation. The homeowner had a good experience but cannot remember the company name. They search online, find three roofers with reviews, and recommends one of those. Your company is not on the list because you have no reviews.

The review was not missing because the homeowner was unhappy. It was missing because nobody asked. A review request at the right moment, with a direct link, turns a completed job into a visible reputation. The request is part of the workflow, not an afterthought.

How the review workflow behaves

The review workflow starts with a verified completed job. The trigger uses your job-completion status, not a guess. The coordinator or project manager marks the job complete in your system, and the review request goes out after that verification. This prevents requests from going out before the work is finished or after a job that was cancelled.

The request is neutral. It asks the customer to share their experience and provides a direct link to the review platform. It does not steer the customer toward a positive review. It does not offer an incentive in exchange for a positive rating. Every eligible customer gets the same request, regardless of whether the team thinks the experience was positive or negative.

Opt-outs are honored immediately. If a customer asks to stop receiving messages, the sequence stops and the messaging preference is updated. The customer is not added back to the sequence by a later form submission. The approved re-consent process is used if the customer wants to hear from the business again.

Reminders are limited. A typical setup sends the initial request and one reminder if no review is posted within a configured window. The window and the reminder count are set with your team. We do not send repeated reminders that feel like harassment.

Team handling covers the replies. When a customer posts a review, the team is notified so they can respond. A positive review gets a thank you. A negative review gets a constructive response and a path to resolution. The service-recovery route is separate from the public review request, so a homeowner who needs support gets support rather than a review link.

Exception handling

When a customer needs support instead of a review

Not every completed job ends with a happy customer. Sometimes the homeowner has a concern: a cleanup issue, a warranty question, a scheduling misunderstanding. Sending a review request to a homeowner with an unresolved concern invites a negative review and misses the chance to fix the problem.

The service-recovery route catches these cases. If a homeowner indicates they need support, the record moves to service recovery instead of the review sequence. The project coordinator is notified and picks up the conversation. The review request is held until the concern is resolved. If the resolution is satisfactory, the request can go out later. If not, the record stays in service recovery.

Deliverables

What RoofMaxing builds

  • Verified completion trigger

A trigger that fires only after a job is verified as complete in your system, preventing premature requests.

  • Neutral request content

An approved request that asks for the customer's experience without steering toward a positive review, with a direct link to the platform.

  • Opt-out handling

Immediate stop and messaging preference update when a customer opts out, with no silent override on later submissions.

  • Limited reminders

A configured reminder window and count, typically one reminder, that avoids harassment.

  • Service-recovery route

A separate path for homeowners who need support, holding the review request until the concern is resolved.

Measurement

What we measure

Each measure is defined in plain language. Baselines start as "Set your baseline" until your data is connected. The review period is agreed with your team.

—

Eligible completed jobs

The count of jobs verified as complete during the review period that were eligible for a review request.

—

Requests sent

The share of eligible completed jobs that received a review request, excluding opt-outs and service-recovery cases.

—

Delivery rate

The share of review requests that were successfully delivered to the customer, excluding failed sends.

—

Genuine reviews received

The count of reviews posted by customers, verified from the review platform where data access is available. Labeled as not yet verified where platform data is not accessible.

Software and access

Review automation connects to your job-completion system, your CRM, and your review platform. We assess your current setup during planning. Tracking genuine reviews received depends on the review platform's data access. We plan the integration before promising a specific reviews-received number.

Illustrated workflows

Approved case studies will appear once a real case is documented. Until then, these illustrated workflows show how the review process connects to the rest of the system.
