Inspection and Estimate Booking

Make Roofing Inspections Easier to Book

A qualified inquiry reaches a real calendar with live availability. The homeowner picks a slot, a rep is assigned, and a confirmation goes out with reminders and a reschedule link. Conflicts, cancellations, and full calendars are handled as explicit exception cases.

The back-and-forth that cost a week

A homeowner qualifies for an inspection on Monday. The coordinator says they will call back to schedule. The coordinator gets busy and does not call until Wednesday. The homeowner is at work and misses the call. They play phone tag through the week.

By Friday, they finally connect and schedule the inspection for the following Tuesday. The homeowner could have picked a time on Monday if the calendar had been available. Instead, the inspection happens eight days after the inquiry instead of three.

The delay was not because the coordinator was lazy. The delay was because the scheduling depended on a phone call instead of a calendar. A real calendar with live availability lets the homeowner pick a time that works for them, and the coordinator does not have to play phone tag to make it happen.

How the booking workflow behaves

The workflow starts with qualification. A homeowner qualifies for an inspection when the service area and the work type match your criteria. The system checks the service area, the work type, and the rep availability before offering a slot. An out-of-area inquiry gets a helpful response and exits the booking path.

Real calendar availability is the core of the booking. The system reads live availability from your calendar and respects working hours, lead time, buffers, capacity, conflict calendars, and daylight saving behavior. The homeowner sees only the slots that are actually open. They pick a time, and the system confirms the booking through the platform.

Rep assignment is part of the booking. A residential replacement inquiry goes to the residential estimator. A storm damage inspection goes to the storm team. The routing rules are configured during implementation and can be adjusted as your team changes.

Confirmation sends the meeting details to the homeowner: the date, the time, the time zone, the rep name, and the address. Reminders are scheduled, typically one day before and one hour before, and the homeowner receives them through the configured channel. The confirmation includes a reschedule link and a cancellation link so the homeowner can adjust without calling the office.

Conflicts and cancellations are explicit exception cases. If a slot is taken between selection and confirmation, the system tells the homeowner the time was just taken and offers the next available slot. If the calendar is full, the system shows the next available range. If the homeowner cancels, the slot is released and the coordinator is notified. The team can decide whether to reach out and rebook.

Exception handling

When the slot is taken between selection and confirmation

A homeowner picks a Tuesday at 10 AM slot. Before they confirm, another homeowner picks the same slot and confirms first. The system checks availability at confirmation time and finds the slot is no longer open.

The system tells the homeowner the time was just taken and shows the next available slots. The homeowner picks a new time and the booking confirms. The record stays at Inspection Scheduling until a confirmed slot is booked. The coordinator is notified so they can see the rebooking in the record.

Measurement

What we measure

Each measure is defined in plain language. Baselines start as "Set your baseline" until your data is connected. The review period is agreed with your team.

—

Qualified inquiry-to-booking rate

The share of qualified inquiries that reached a booked inspection during the review period. A qualified inquiry meets the service area and work type criteria.

—

Attendance rate

The share of booked inspections where the homeowner was present and the inspection happened as scheduled.

—

Reschedule completion

The share of reschedules that were completed through the reschedule link without requiring a call to the office.

—

Cancellation rate

The share of booked inspections that were cancelled before the appointment, tracked by reason where available.

Software and access

Appointment booking connects to your calendar, your CRM, and your rep scheduling system. We assess your current setup during planning. Calendar availability depends on the platform and the access you can provide. We plan the integration before promising a specific booking flow.

Illustrated workflows

Approved case studies will appear once a real case is documented. Until then, these illustrated workflows show how the booking process connects to the rest of the system.

Questions

Common questions about this service

  • No. The calendar on this website books your strategy session with RoofMaxing. The inspection and estimate booking service builds a separate calendar for your roofing company's homeowners. The two are distinct. We do not imply that the B2B strategy calendar books homeowner inspections for every client.
